Privacy & data protection notice

What we collect, why we hold it, who we share it with, and what you can ask us to do.

Because we handle immigration documents, we necessarily process sensitive personal information, and we move it between Nigeria and the European Union. This notice explains that plainly. If anything here is unclear, ask us. It is a fair question and we would rather answer it.

Who we are

Next Step with Fabian is an independent relocation and document-preparation consultancy serving clients in Nigeria and the Czech Republic. For the purposes of data protection law we are the controller of the personal data described in this notice.

What we collect

Depending on how far your enquiry progresses, we may hold:

  • Contact and identity details: name, email address, telephone and WhatsApp number, country of residence.
  • Enquiry details: the route you are asking about, your intended timeframe, and whatever you choose to tell us about your situation.
  • Immigration history: including previous visa applications and refusals. We ask about this because concealing a refusal is more damaging to your case than disclosing it.
  • Educational records: certificates, results, transcripts and diplomas.
  • Civil status documents: birth and marriage certificates, and family relationship evidence.
  • Financial information: bank statements and sponsorship evidence, for proof-of-funds purposes.
  • Criminal record extracts, where an application requires one.
  • Correspondence between us, including WhatsApp messages and any documents you send us.

Some of this is sensitive. Criminal record information in particular attracts additional legal protection, and we only ever request it because a specific application requires it.

Why we hold it, and our legal basis

  • To answer your enquiry: on the basis of your consent, and our legitimate interest in responding to people who contact us.
  • To provide the service you engaged us for: on the basis of performing our contract with you.
  • To prepare and submit applications: on the basis of our contract, and, for sensitive categories such as criminal record data, your explicit consent.
  • To keep records of advice given and work done: on the basis of our legitimate interest in being able to evidence what we advised, and any legal obligation to retain records.

We do not sell your data, we do not share it for advertising, and we do not use it to build marketing profiles.

Who we share it with

Only where it is necessary to do the work you have asked us to do:

  • Court-appointed translators, to produce sworn Czech translations.
  • Legalising authorities in Nigeria, and Czech consular services.
  • Czech educational institutions, where we are handling nostrification or an admission application on your behalf.
  • The Embassy of the Czech Republic and Czech authorities including the Ministry of the Interior, as part of your application.
  • Courier companies, to move documents securely.
  • Insurance providers, where we arrange compliant cover.
  • Our own service providers: website hosting, email and messaging platforms.

We share the minimum necessary in each case, and we will tell you before sending your documents somewhere you would not expect.

Transfers between Nigeria and the EU

This is unavoidable and central to what we do: making a Czech application from Nigeria requires your personal data to move between the two. Depending on the stage, your information may be processed in Nigeria, in the Czech Republic, or elsewhere in the European Union.

Where data leaves the European Economic Area, we take reasonable steps to ensure it remains appropriately protected, and we limit transfers to what your application actually requires.

How long we keep it

Enquiries that do not become engagements are deleted once it is clear we will not be working together, unless you ask us to keep your details for a future application.

For clients, we retain case records for a period after the matter closes, so that we can evidence the advice we gave and the work we did, and so we can help if you return for a subsequent application. Original documents are returned to you. We do not keep originals once they are no longer required.

Your rights

Subject to the applicable law, you can ask us to:

  • Tell you what personal data we hold about you, and give you a copy
  • Correct anything inaccurate
  • Delete data we no longer have a good reason to hold
  • Restrict how we use it, or object to a particular use
  • Provide it in a portable form, or send it to another adviser
  • Withdraw a consent you previously gave

Email hello@nextstepwithfabian.com and we will respond within the time the applicable law allows. There is no charge for a reasonable request.

One honest caveat: if you ask us to delete data in the middle of a live application, we may not be able to continue acting for you, and documents already submitted to the Czech authorities are held by them under their own rules, not ours. We will explain the consequences before acting.

Complaints

Please raise concerns with us first. Most issues are misunderstandings we can fix quickly. If you are not satisfied, you have the right to complain to a data protection authority: in the Czech Republic, the Office for Personal Data Protection (Úřad pro ochranu osobních údaj&ucaron;); in Nigeria, the Nigeria Data Protection Commission.

This website

This site is deliberately simple. It sets no advertising or tracking cookies, and there is no analytics, advertising pixel or social media tracker embedded in these pages.

Two things are worth disclosing anyway:

  • Fonts are loaded from Google Fonts, which means your browser makes a request to Google's servers and Google receives your IP address as a result.
  • Hosting: our host keeps standard server logs, which include IP addresses, for security and abuse prevention.

If you submit the enquiry form, the details you enter are transmitted to us through our hosting provider's form handling and are used only to respond to you.

Changes

We will update this notice when our practices change. It was last reviewed in September 2026.
